Order Terms

Rensino Waterproofing Material Co., Ltd. supplies waterproofing and geosynthetic materials to international distributors, contractors, project suppliers, and other business buyers. Our product range includes bitumen and polymer synthetic waterproof membranes, geomembranes, geotextiles, geosynthetic clay liners, liquid waterproof coatings, roofing felts, waterproof sealants, waterstop strips, accessories, and custom waterproofing products. The following guide explains our standard ordering process. Specific commercial terms are subject to confirmation according to the product, quantity, customization requirements, destination, and delivery conditions.

1. Inquiry and Product Selection

Please send us an inquiry describing the product and its intended application. Detailed information enables our team to identify a suitable specification and prepare an accurate quotation.

Depending on the product, your inquiry should include:

If you are uncertain about the appropriate material, our team can discuss available options based on your project information. Product selection and final suitability should be confirmed against the actual application requirements and applicable local standards.

2. Samples and Technical Evaluation

Samples may be discussed before a bulk order when required for evaluation. Sample availability, dimensions, preparation time, cost, and freight arrangements depend on the selected product and customization level.

Customers should inspect and test samples under their own intended conditions before approving them as a reference for production. A sample may represent appearance, material, or construction, but minor variations can occur between sample and bulk production due to manufacturing tolerances, raw materials, dimensions, and production methods.

3. Customization and Quotation

Rensino Waterproofing Material Co., Ltd. can review requests for custom dimensions, formulations, structures, colors, branding, and packaging. The feasibility of each request is evaluated according to the product type, technical requirements, manufacturing process, and order quantity.

Our quotation may specify the product description, specification, quantity, unit price, trade term, packing method, estimated production schedule, quotation validity, payment arrangement, and other applicable conditions. Prices are based on the information supplied at the time of quotation and may be revised if the specification, quantity, packaging, destination, freight cost, or other order details change.

Any tooling, testing, sample preparation, artwork, special packaging, or third-party inspection costs will be stated or discussed where applicable. Applicable taxes, customs duties, import charges, and destination fees are handled according to the confirmed trade terms.

4. Order Confirmation

An order enters the confirmation stage after the customer accepts the quotation and provides the required purchasing information. Before production, both parties should confirm all relevant details in writing, including:

The order will be governed by the final accepted sales contract, pro forma invoice, purchase order acknowledgment, or other mutually confirmed order document. Customers should review all details carefully and report any required corrections before approving the order.

5. Payment Terms

Payment methods and timing are agreed according to the order value, product requirements, customization level, transaction history, destination, and other commercial considerations. The applicable payment arrangement will be stated in the quotation, pro forma invoice, or sales contract.

Production scheduling normally begins after the agreed order documents and required payment conditions have been completed. Bank charges and other transaction costs are handled according to the confirmed commercial terms. Customers should use only the bank account information stated in an authorized document issued by Rensino Waterproofing Material Co., Ltd.

If bank details appear to change, please verify the information directly with our authorized contact before making payment. Payment should not be sent based solely on an unverified request.

6. Production Approval and Changes

Customized products may require approval of drawings, specifications, artwork, labels, packaging layouts, samples, or other production information. The customer is responsible for checking spelling, dimensions, colors, technical data, branding, and regulatory markings before approval.

Requests to change an order should be submitted in writing as early as possible. Changes made after confirmation may affect price, material preparation, production scheduling, packaging, and delivery arrangements. If materials have already been purchased or production has started, some changes may not be possible or may involve additional costs. Any revised terms must be confirmed by both parties.

7. Production and Quality Checks

Production is arranged according to the confirmed specification and manufacturing requirements. Estimated lead times depend on the product type, quantity, raw material availability, customization, packaging, inspection requirements, and production schedule. Any stated timeline is subject to final order confirmation and may be updated if order details change.

Quality checks may include verification of dimensions, appearance, construction, packaging, labeling, and relevant product characteristics according to the confirmed order requirements. Where practical, production or packing photographs can be provided upon request. If the customer requires a specific testing protocol, inspection report, or third-party inspection, this requirement should be agreed before the order is finalized.

Customers or their appointed inspection agencies may request a pre-shipment inspection, subject to production status, site arrangements, confidentiality requirements, and any related costs. Inspection requirements do not replace the need to confirm clear technical specifications before production.

8. Packing and Marking

Products are packed using methods suitable for their form, dimensions, weight, handling requirements, and selected mode of transport. Depending on the product, packing may include rolls, bags, cartons, woven wrapping, pallets, protective film, or other appropriate materials.

Special requirements such as private labels, neutral packing, pallet dimensions, reinforced export packing, barcodes, shipping marks, or multilingual information should be provided before order confirmation. Additional packing or labeling costs may apply depending on the requirements.

9. Delivery and Shipping

Shipments can be arranged by sea, air, courier, rail, road, or another agreed method, depending on the quantity, destination, urgency, product characteristics, and cost considerations. The responsibilities of the buyer and seller are determined by the trade term stated in the confirmed order documents.

Freight rates and transit schedules provided before shipment are based on information available at that time and may be affected by carrier capacity, route changes, port conditions, customs procedures, weather, and other circumstances outside the seller’s direct control. Final shipment details will be communicated after booking and cargo readiness are confirmed.

Commercial invoices, packing lists, transport documents, and other agreed shipping documents will be prepared according to the confirmed order. Any special documentation, legalization, certification, or destination-specific requirement must be disclosed before order confirmation so that feasibility, timing, and cost can be reviewed.

10. Receipt and Inspection of Goods

Upon receipt, the customer should check the shipment promptly for package condition, quantity, product identification, and visible damage. If damage or shortage is discovered, it should be recorded on the carrier’s delivery document where possible, and photographs of the packaging, labels, goods, and container condition should be taken before the goods are moved or used.

Any product-related concern should be reported in writing within a reasonable period after receipt and before installation, processing, resale, or further use. The report should include the order or invoice number, product name, batch or label information where available, affected quantity, photographs, videos, test information, and a clear description of the issue.

11. After-Sales Communication

Rensino Waterproofing Material Co., Ltd. will review documented concerns in relation to the confirmed specification, order records, available samples, inspection information, transport conditions, storage, and intended application. Our team may request additional evidence or representative samples to support the review.

Any proposed resolution will depend on the findings, the confirmed order terms, and the circumstances of the case. Products should be stored, handled, and installed in accordance with applicable product instructions, project requirements, and local practices. Installation conditions and work performed by third parties remain outside our direct control.

12. Reorders and Ongoing Supply

For repeat orders, please provide the previous order number, product specification, and any requested changes. Raw material conditions, manufacturing arrangements, freight costs, and packaging availability may vary between orders, so the price and delivery schedule for each reorder are subject to renewed confirmation.

For ongoing projects or distribution programs, customers may share purchasing forecasts and expected delivery destinations. This information can help both parties discuss product planning, packaging consistency, shipping arrangements, and future order schedules more efficiently.
